Organizing Data in Julep

Do you know how Julep organizes your data? Learn about how each type of code operates, including Program Codes, Initiative Codes, and Source Codes. This can help you maximize the features of Julep and get the best analysis of your data.

This post is broken into three parts:

What about Fund Codes?

Fund Codes identify the correct bucket of funds your organization’s donations and treasury receipts will be attributed to or where expenses will be drawn from. Database Fund Codes can be as simple as “Unrestricted” and “Restricted,” or they can be more varied with different codes representing the various programs of your nonprofit.  Every gift entered will be required to assign a Fund Code to identify where the funds are being designated. Because Fund Codes should be limited and strategically created, please contact Support@julepcrm.com to add or edit them.

Data in Julep is set up in a three-level hierarchy:

1. Program: These codes cover broad categories of fundraising such as Housefile, Telemarketing, or Major Donors.

Examples: Direct Mail, Prospect Mail, Email Donations, Events.

2. Initiative: This code is given to every outreach or appeal effort sent to donors, such as prospect or housefiles. Events can be entered as one initiative or divided by region, timing, type, or other criteria. Every Initiative is linked to a broader Program Code.

Example: Prospect Bumper sticker or Housefile Gala Invite

2. Source: Within each Initiative, Source Codes are assigned to the direct stream of revenue, such as Prospect Letter February 2023. If it’s a prospecting mailing, the code identifies which list the name was rented from. For Housefile, the source represents the segment of your file. Events can each be given a unique Source Code so that lists of donors for a particular event can be easily found.

Every Source Code is linked to a broader Initiative Code, but only Source Code is required to be assigned to gifts entered in the system.

Remember: Every Source Code is linked to a broader Initiative code and an even broader Program code. However, Julep will only require you to select a Fund Code and Source Code when entering or loading a gift.
